\u2013 One of the organization\u2019s goals is to become the largest Microsoft Copilot partner in the world<\/em><\/p>\n

\u2013 Using the laboratory is the third phase of a robust project that involves discovering the problem and acculturating the client on the topic<\/em><\/p>\n

\u2013 Currently, the company already has demos for the areas of HR, legal, customer service, purchasing, sales, marketing and finance<\/em><\/p>\n

The company also created an internal AI environment, via Copilot, for its own HR department<\/em><\/p>\n

THE\u00a0SoftwareOne<\/a>, a global leader in cloud software and solutions, has just announced the launch of an immersive virtual lab so customers can experience the\u00a0Copilot<\/a>, Microsoft's Artificial Intelligence solution. Through a customized platform, users can access the entire Microsoft 365 suite, with the technology already installed. From there, the user is guided by a company specialist to test it before purchasing the license, discerning whether this is really the best decision for their business. The pilot phase of the action included 165 unique users from 25 companies, who had access to the system for about an hour and a half.<\/p>\n

Samir Chuffi, Microsoft Business Unit Director at SoftwareOne, explains that Copilot was developed to increase user productivity. \u201cIt is integrated with several Microsoft 365 applications, such as Word, Excel, PowerPoint and Outlook, and has the ability to provide suggestions, complete sentences, generate insights, create summaries and automate repetitive processes, quickly and easily,\u201d he says. The executive reinforces that\u00a0Such ease has sparked customers' interest in the solution, which led SoftwareOne to design a robust strategy to accompany them on this journey.<\/strong><\/p>\n

The project<\/strong><\/p>\n

Samir Chuffi says that the first step in this journey is to understand why the client believes that Copilot is the solution to their pain, seeking to uncover their objective with the implementation. \u201cWhen it is clear that the\u00a0Artificial Intelligence<\/a>l is really the best way, the second step is the workshops, lasting two days, totaling 8 hours. During the event, our experts cover the entire trajectory of technology in the corporate world and how this connects with Copilot's offering, in addition to presenting a demonstration", he says. Finally, the third step is to make the laboratory available, so that users can try out the solution in practice.<\/p>\n

From the conception of the idea to the first classes, the project, which has a global dimension, involved around four months of work and more than 20<\/strong>\u00a0professionals working in the Microsoft Business Unit. Hours were invested in internal training and in customizing the laboratories, which currently bring together demos for the areas of: HR, legal, customer service, purchasing, sales, marketing and finance.<\/p>\n

The big difference with this proposal, in turn, is the delivery of an experience based on the customer's pain. \u201cIf the company's problem is in the legal area, the test they will do will be on a tool specific to this sector, so that they can really understand the benefits of the solution in their area\u201d, explains Samir.<\/p>\n

Safety<\/strong><\/p>\n

To offer this personalized experience to the market, SoftwareOne carried out an immersion and identified that, when connecting the company's data sources with Artificial Intelligence, it is necessary to analyze in depth the area of\u00a0safety<\/a>\u00a0of information. \u201cThere are confidential documents that should not be available for consultation using technologies like this, which make the data public,\u201d says Samir.<\/p>\n

The executive also states that, with regard to security, customers receive support in tagging documents, inserting criticality levels, defining compliance, restricting access to a specific source and adding passwords to files, for example. \u201cA company\u2019s HR department works with documents that contain employees\u2019 personal data, which must comply with the LGPD. If we do not handle these files, they will be consumed and information that should not be public may become so,\u201d he ponders.<\/p>\n

Success story<\/strong><\/p>\n

For Samir, having real testimonials that prove the importance and applicability of Copilot in business was extremely important, which encouraged the company to develop a solution for its own Human Resources department. \u201cIt is an internal AI environment, integrated with Copilot, customized for the area, which aims to interact with employees to optimize their experience and support the team,\u201d he emphasizes.<\/p>\n

SoftwareOne's Human Resources Director for Brazil, Eduardo Prazeres, reports that\u00a0The choice of area for this pilot project was due to the company's concern in putting people at the center.<\/strong> \u201cToday, we depend 100% on people, and optimizing the employee experience is synonymous with efficiency, productivity and engagement. Furthermore, one of the biggest challenges in the process of adopting new technologies is precisely the acculturation of people. Therefore, starting with this pillar is a great source of pride for us\u201d, he says.<\/p>\n

The solution, which is currently being implemented only at the Brazilian unit, is still in the Artificial Intelligence training phase. \u201cCurrently, access is granted to a closed group for testing. After all the parameterization is completed, the next step is to study the feasibility of sharing the system for 100% of our people in Brazil, which must be initially authorized by the global team,\u201d explains Prazeres.<\/p>\n

Among the benefits of this implementation listed by the specialist, the following stand out: 24\u00d77 and real-time support for employees, the possibility of asking questions without having to open a ticket and wait for the area's SLA to respond, and the reduction of the operational load on the sector team.<\/p>\n

Prazeres explains that the employee's development plan, for example, includes a document that lists their aspirations, strengths and gaps so that they can reach their career goals. \u201cThis material guides what they need to seek to evolve and we have great expectations that AI will be able to support them with an analysis of the plan and the indication of the most suitable training, as well as where they can obtain it\u201d, he confirms.<\/p>\n

From the perspective of operational automation, Prazeres states that AI can generate the entire employee termination process based on data input. \u201cIt is possible to quickly and easily obtain the FGTS balance, calculations and even draft the necessary documents. In addition, the Human Resources team also benefits from PowerPoint presentations based on just a Word draft of a project, internal research analyses and meeting summaries,\u201d he points out.<\/p>\n

Although in the HR area the use of Copilot is more<\/strong>\u00a0mature and customized, other areas of SoftwareOne have also explored the technology, such as marketing, for creating images and presentations, and legal, for analyzing contracts.<\/p>\n
