Solution digitized the process of hiring employees with efficient management of medical records

Scanning documents ensures speed and security for any business. In the case of a large company, it is vital to have a tool that manages and guarantees the security of huge volumes of data and sensitive information.

THE TIVIT, a Brazilian multinational and technology one stop shop, offers digital platforms that increase efficiency in different areas of companies, including human resources. TIVIT's ECM (Enterprise Content Management) has been successfully applied in companies that digitized HR management. With ECM, it is possible to eliminate bureaucratic activities to build an HR that is more focused on strategic and safer issues.

BelShop, a cosmetics sales chain in southern Brazil, had difficulty managing its digital documents. Its challenge was to manage more than 130,643 images from 1,679 employee medical records efficiently, safely and in compliance with LGPD laws, throughout the Project. After adopting TIVIT's ECM, the company eliminated errors, such as filing documents in the wrong medical records, and started to control documentation in a simpler and faster way. “The gains with the TIVIT solution were immediate. We reduced the search time for documents related to contracted professionals, for example”, says Tiago Ercole, from BelShop. “Not to mention the process of implementing the solution, which took 2 months, which was quite fast”.

Another user of ECM for HR is one of the world's leading providers of dialysis products and services in the medical care segment. The company uses the ECM system that carried out all the digitization of its HR documents.

“We needed a solution with a level of security compatible with the compliance rules of our customers who work with the management of patient records and other sensitive documents”, says Helenice Oliveira, Director of Operations and Head of ECM at TIVIT. “Our system has layers of security and is traceable through access logs, which guarantee total control over its use.”

In both projects, TIVIT faced challenges such as the digital transformation of HR and the implementation of the medical records management system, generating more agility and mitigating errors. The company also carried out training for the customers' operational teams and reconciled project costs with the customers' budget. “The main result of this work is to make our customers have a professional management of this area that is so relevant to their business”, says Helenice Oliveira, Director of Operations and Head of ECM at TIVIT. “This means streamlining processes, mitigating labor risks and complying with the General Data Protection Law, which includes handling information securely”.

ECM goes beyond digital HR

ECM is the way to store any information digitally in order to better manage it. Companies use this solution as a way to improve their day-to-day activities in terms of organization and productivity.

“TIVIT chose to make specific solutions for some market niches. We offer a complete service, with document scanning, information management and safe storage. Some customers hire us, for example, to scan the stub of the product delivery receipts”, says Helenice Oliveira, Director of Operations and Head of ECM at TIVIT. “This is a specific work cycle for the logistics and transport sector, which involves making payment only after confirming receipt of the delivery stub, which is why it is so important to ensure that this process is organized”.

It is also possible, through ECM, to manage the control and payment of suppliers by digitizing paid invoices to keep them safe. Companies deal with hundreds or thousands of notes every month, as they have relationships with several suppliers, justifying the hiring of this ECM service.
